How To Use the AOC Auditorium

The following are instructions for preparing the AOC auditorium to host a Colloquium. It is assumed that the speaker has a laptop based presentation which should be projected onto the screen. It is also assumed that one or more NRAO sites wish to attend via the video conference system.

Hooking up a laptop to the projector

1. Connect the VGA cable to the back of the laptop (looks like a monitor cable.)
2. Power on the projector
3. boot up the laptop
4. Select Input-1 on the projector remote
5. Toggle the LCD/CRT mode of the laptop. This is commonly a key sequence like Function F8 and will usually switch from LCD, CRT, LCD+CRT, LCD, etc. Wait 5 seconds between each attempt.

In the event the laptop still doesn't display properly, halt and turn off the laptop, power off the projector and disconnect the VGA cable from the laptop.

5. Toggle the LCD/CRT mode of the laptop. This is commonly a key sequence like Function F8 and will usually switch from LCD, CRT, LCD+CRT, LCD, etc. Wait 5 seconds between each attempt.

Setting up for video conferencing

• Get the cabinet key from the receptionist
• Get the wireless mic labeled LAV1 out of the foam box next to the mixing board. Turn on the wireless mic by moving the power switch, located next to the wire, from off to on. The low battery light should come on briefly then go out. If it never comes on or never goes out then replace the battery with a new 9volt and throw away the old one. New batteries can be found in the same foam box as the mic was found.
• The switch found on the front face of the mic labeled mic is a mute switch and will allow you to leave the mic on yet not transmit any sound from it until you are ready. For now, leave it in the off position.
• Power on the wireless mic receiver labeled LAV1 on top of the right cabinet.
• Power on the mixing board in the middle right cabinet by pressing the red button in the top right corder of the board. The board has numerous sliders and dials, none of which you should need to adjust.

When ready to begin presentation

• Un-mute the wireless mic by moving the mic switch, located on the front of the device, from off to on.
• Make sure the mute is off on the polycom unit.
• Charlottesville should actually establish the video conference connection.

Other Notes

• There is a wireles mic for the polycom phone system. The mic is kept in the right side of the cabinet and is labeled LAV 2 so it is not confused with the wireless mic for the video system. The base unit is on, or sometimes under, the table along the west wall where the polycom phone system is.
