Information for Summer Students coming to Socorro

We are pleased that you have accepted our offer of a summer appointment in Socorro, and look forward to working with you. We are conducting exciting research at the National Radio Astronomy Observatory, and we trust your summer here will be a rewarding one. This document contains information to help make your transition to Socorro as pain- and worry- free as possible. Please check this site often as we will update it as soon as we have more information. My name is Crystal Brogan and I am a Jansky Post-doc at NRAO. I will being helping to run the Socorro summer program this year. Getting Here

Socorro, NM is the location of the Very Large Array (VLA) Array Operations Center (AOC) where you will be working during the summer. Socorro is located about 75 miles south of Albuquerque, NM just off of I-25. Detailed directions and maps to the Array Operations Center in Socorro, NM can be found at
http://www.aoc.nrao.edu/vla/html/aocdir.shtml. The VLA site is about 45 miles west of Socorro on the plains of St. Augustine.

You will be reimbursed for your travel expenses, subject to the guidelines laid out in the NRAO travel policy (Section 8). Specifically, you will need to book your ticket at least 7 days in advance, and can only be reimbursed for a round-trip flight by the most direct route. If you choose to drive to Socorro, you will be reimbursed at a rate of $0.30/mile, or the price of round trip airfare which ever is cheaper. You will not be reimbursed for per diem or lodging during your trip to or from Socorro.

Prior to Arrival

You may begin this appointment any time after the close of the school year, and your appointment is expected to last for a minimum of 10 weeks and up to 12 weeks. You should arrange for your start and end dates directly with your NRAO advisor (contact information will be in your offer letter). Although the exact arrival and departure dates are flexible, this year there is a VLA Synthesis Imaging Summer School from June 18-25 in Socorro which we would like you to take part in. Therefore, you should plan to arrive before it starts. The purpose of this summer school is to provide a comprehensive introduction to basic aspects of radio astronomy. More information on the summer school can be found here. This summer school involves students from all over the world and includes about 200 registered participants. This event puts considerable strain on our reservation resources so you should arrange your travel as soon as possible. As soon as you have made your travel reservations you should contact Terry Romero at (phone 505-835-7315 or email tromero@nrao.edu).

You will need to secure a place to live over the summer. Information to help you go about this is given below. It is often advantageous to do this remotely, however, if you prefer to secure housing after you arrive, the NRAO will reimburse you for up to 7days at the NRAO guesthouse.

Housing

If you need more than 7 days to find housing you may be able to stay extra days (pending availability) in the NRAO guesthouse at the rate of around $19 per day. In years past small groups of students have sometimes rented houses together to share resources and expense. The names and email addresses of all of this years students are posted above in case you would like to contact them. Housing in Socorro is generally cheap compared to metropolitan areas, with two bedrooms typically around $500. Several students also stayed in the New Mexico Tech dorms last year and seemed to like it, particularly since they are furnished with complete kitchens. We will provide more information on whether the Tech dorms will be available this year soon. Also note that NRAO has a small supply of used furniture etc. which can be borrowed for the summer on first come first served basis. If you find a place remotely via one of the realtors listed below that you want to know more about, we can arrange to go by and check out that it meets some minimum level of acceptability.

Work Schedule and Paychecks

Your project advisor will have told you the topic of your research prior to your acceptance. You will spend the next 10-12 weeks working on this project. At the end of your appointment, you will give a short (~15min) lunch talk to the scientific staff about your research, and will write up a short project summary. Here are examples of past year projects and summaries. If you obtain results that you and your advisor think are worth presenting at the winter meeeting of the American Astronomical Society, then the NRAO has some limited funds that you can apply for to pay for your travel and stay. More information about attending the AAS and a sample application can be found here.

You are expected to work a 40 hour week. For the most part, those 40 hours should occur during the normal work week, although this can be negotiated with your advisor. You will have a time card that is filled out monthly. These time cards need to be signed by you and your advisor, and turned into Human Resources by the 20th of the month. Paychecks are issued on the last day of the month.

Summer students are eligible for sick days and holidays, but not vacation days. If you need to take a break during the summer, you need to arrange this with your advisor. In this case, on your timecard you need to mark the days you are gone as Leave Without Pay (LWOP). As mentioned in your offer letters, you will need to be at work for a minimum of 10 weeks.

VLA summer students are also expected to give tours to the public at the VLA site on two weekend days during the course of the summer. You will be able to some extent to chose dates that fit with your schedule. Transportation to the site will be provided.

During the summer, there will be lectures given in the conference room. These will feature local members of the scientific or engineering staff giving introductory talks about various fields in astronomy. See last years' web pages for examples of the lectures and other scheduled events.
